Practical tips anyone can benefit from.

Another useful book from this author. Filled with common sense tips that are easy to understand and implement. Unlike most time management books, this one does not force feed you a system that may not work for you, but rather presents a buffet of tactics you can experiment with to develop the proper system for your unique situation. The section on remote working was particularly helpful.

HIGHLIGHTS:
1. TIME = SELF-MANAGEMENT:
- Time management is about how we manage ourselves, given that time is a limited resource.
- Pointless collaboration increases your time demands without increasing your engagement level. You’re saddled with more responsibilities without an accompanying sense of ownership.
- Procrastination stems from issues related to emotional management.
- You cannot effectively manage your time if you don’t first manage your attention.
- You overload yourself by committing to tasks and projects that shouldn’t be on your plate.

2. FOCUSED:
- Productive people tend to be exceptionally focused. They’re willing to postpone or abandon low-priority items to advance their top priorities (which tend to be few).
- Responding promptly doesn’t mean they must respond immediately.

3. BUFFER:
- We stuff our daily calendar with back-to-back time blocks, neglecting to add buffer time. We wrongly believe that we can shift instantly from one activity to another.
- Overoptimism has a name: planning fallacy.
- We presume things will go smoothly when myriad things can go wrong. We’re biased toward the positive, which causes us to misread these factors.
- Things we cannot control will often interfere with our plans. It’s better to add buffer time to accommodate such things than to remain overly optimistic and suffer the consequences later.

4. SCHEDULE:
- Schedule your time blocks on your daily calendar. Whenever possible, arrange them according to your energy levels.
- Every decision we make and every action we take stems from our priorities.
- One of the most efficient, effective ways to avoid feeling overwhelmed and burnt out is regularly pruning nonessential, low-value tasks.
- assign time blocks for essential tasks. Put them on your calendar.

5. EMAIL:
- Use an email program that allows you to tag each email. This will enable you to organize your emails by topic, project, deliverable, and sender or recipient.
- Flexibility is largely unrecognized as a tool or trait that supports time management. But in my opinion, it is crucial because our schedules, plans, and routines are ultimately vulnerable to factors beyond our control.
- Archive emails that do not require a response from you.
- Get accustomed to ignoring emails that require no action from you.
- Set up filters that automatically label incoming emails.
- Create filters that auto-label high-priority emails with a red tag so you can find them quickly in your inbox.
- The structure of your day should be tailored to resist and counter the distractions you struggle with.

6. FOCUS:
- Focus is a learned skill. It is developed over time. Like a muscle, it is strengthened through deliberate practice and atrophies with neglect and nonuse.
- The problem is serial interrupters. These people routinely drop in to chat, seek help, ask our opinion, or waste time, procrastinating when they should be working.
- Designate a block of time each day (e.g., 9:30 a.m. to 11:00 a.m.) as “interruption-free” time.
- “What can I do for you?”
- Our time and energy are limited resources, we must allocate them judiciously. When we do so, we give ourselves the freedom to manage our time according to our priorities.
- Paring back the volume of tasks that demand your attention frees your mind to focus on important items.

7. DOWNTIME:
- Send a “thinking of you” text to a friend that you haven’t seen in a long time.

8. CHUNKS:
- Break down an upcoming project into small tasks. Brainstorm or research fun activities
- Deadlines motivate us and inspire us to act.

9. ENERGY MANAGEMENT:
- Review how your energy levels tend to fluctuate and how much focus and creativity each item requires. Schedule time blocks accordingly on your daily calendar.
- We rely on working memory and use it in countless ways during a typical day. We also regularly suffer consequences associated with poor working memory.
- When our working memory is weak, we are prone to make avoidable mistakes and waste time compensating for them. The good news is that we can improve our working memory.
- follow routines. The more you rely on patterns and procedures, the less your brain will need to retrieve the stored information.

10. MEETINGS:
- They’re often unfocused. Attendees discuss irrelevant matters because the leader of the meeting fails to keep them on point.
- Decline the meeting invitation. It’s common for meeting organizers to invite people who don’t need to attend. Often they do so out of courtesy. If your presence at a meeting is unnecessary, opt out of it.
- Put time blocks on your calendar so everyone can see them. Organizers often choose their meetings’ dates and times based on others’ availability. Blocking off time can help you to avoid these meetings.
- If someone proposes an in-person meeting, counter-propose a phone call.
- If you must attend a meeting, let the organizer know you have less time available than the proposed duration.
- A better approach is to master the art of declining meetings, including saying no to invitations and suggesting alternatives and workarounds
- Have a clear purpose and plan regarding what you’d like to cover during the meeting. Arrive with a detailed, focused agenda. Send it to attendees beforehand, so they’ll (hopefully) arrive with it, too.
- Ask attendees to turn their phones off. Fair warning: you may run into resistance. But if you encourage attendees to comply, you’ll face fewer interruptions and distractions.
- Shorter Meetings: Try 45 minutes. Try 35 minutes. You’ll find that setting a shorter duration will encourage everyone to focus.
- Ask attendees to hold off on discussing topics not listed in your agenda.
- Set aside five minutes at the end of the meeting to detail an action plan. Ask attendees to be responsible for specific deliverables.

This is the perfect book to establish a foundation of time management skills in your everyday life. It is a practical guide that encourages you to use what works for you, and to discard the rest. It can be read from front to back, or simply by targeting the chapters that outline the skills you wish to implement. I read it from front to back, and now have greater insight into how to manage my time more effectively. Rather short read as well. Highly recommend!
