I put together a spreadsheet for Spell that automates a ton based on the code assigned to each book — including handling titles with or without articles (A / An / The). If you fill in the details, it can also generate your completion post for you. ✨🧙‍♀️

Getting Set Up
Start by adding your teammates’ names to Column A on the Members tab.

Adding New Words
When a word is announced, type it IN ALL CAPS on the Words tab.
Don’t worry about the rest — the sheet will automatically fill it in wherever it’s needed.

Updating the Round Tab
Head to the Round tab when a new word starts.
Copy the Header row (Row 10) and paste it at the end of the previous word.
Copy Cell B11 to begin the next word section.
Repeat this each time a new word is needed.

Tracking Your Books
The Books tab is where everyone logs their reads, including the broken link.
Column AA will automatically create a completion post for you (totally optional).
Once you add the Message # to "Done" (Column H), the completion post will hide itself.

What the Colors Mean
Maroon in Column A: You’ve added a completion date, but the “Checked” box (Column A) isn’t marked yet.
Red row: A completion date is entered, but the completion post hasn’t been made.
Yellow row: The book has been read but not used yet.
Green row: The book has been used and fully checked off. 🎉

*Articles do not have to be entered separately. That is handled under the hood.
*There isn't a separate sheet for every letter, but a very short questionnaire on the "START HERE" sheet that asks what the user is looking for (rows 18, 19). There's just 3 cells for the user to fill in and 2 of them have drop down choices. The results are then on the "Query Results" sheet. Instructions are in rows 14-16.
*There's a dynamically (on the fly) built query on a hidden sheet called "Query" if you want to see some of the backend stuff, but please hide that sheet again when you're done. Users don't need to see my spaghetti code.

I just took a quick look at your version of the spell database and I appreciate your trying to make it better. I'm all for that. I have some comments.

--I love that you included how many options there are for letters and the scripts you and Lisa wrote for automatic completion posts and not having to do articles separately. I have some ideas/issues with the completion posts and making it accessible for different spell challenges but I'm still thinking about it. (I use the database for spell outs in challenges outside the MM Romance Group. I don't share it, just use it. So completion posts are different.)

--The field for choosing a letter needs to be near the top. No one is going to scroll through all our instructions to get there. Personally I think we should have an instructions page and an entry page and the instructions need to be much, much shorter. I lost on that argument last time.

--Having people specify what field they want the letter to be in just makes it harder to use. For spell outs, people use whatever is available. It doesn't matter whether it's an author or a series. Having to look through each category is unnecessary and tedious. If there's something that isn't allowed the particular challenge they're doing, like they can't include narrators, that's what sort is for.

--Now that I know that we don't get notifications for comments on our profile page, as long as we don't open this up to all of GR, I'm okay with putting my email under contact info.

I've added all these spreadsheets to post #2.

One thing I'd like to see added to the spell tracking sheet is rating. I and someone else from our team add a rating and I think others would to. It would be optional of course and we could just let people know that at the beginning of the challenge when we're explaining the spreadsheet.

I put the spreadsheet YonnoMaus and I created from Lisa's because she made the summary page really cool. It would be awesome to get something like that in the most recent version of the spreadsheet, Izzy's.

I have spreadsheets for Scavenger Hunt, too, for tracking possible book and their points and one for individual tracking. But I need to find time to get those together. The sheet above from me and YonnoMaus needs cleaning up. There's a template page but it was made at the end and I didn't have the time or inclination to make it pretty.

I hope Fredicka joins this conversation because she has spreadsheets, too. I would love to find a way to integrate her master database sheet for the Scavenger Hunt because she has to manually add everyone's books to it and that's a lot of work for her.

--For other spell challenges, let me know the format of the completion posts and I'll look into letting that be something more selectable.

--I think you're right that the instructions needs to be shorter. I mostly just worked with what I had. Again, let me think about this and see what I can do. For data entry, I think acting more like a database with a form entry would be better.

--There's a "any use" choice that is for just picking everything in the database that has that letter. It's the first one on the list. I wonder if I can make it the default when opening for the first time...

--I should change the contact information and add people to it now that I'm sharing. Also, make a decent name for the file.

--spell tracking sheet: rating added. We'll see this reflected when we start round 4.

--The summary page looks like it combines the summary and team info pages in a really nice way. Yeah, I can make that work.

I'm getting a disturbing error when I try to open Izzy's sheet from post 13. I tried twice. I can open several other things including Fredicka's sheet above so I know it's specific to this sheet.

I've entered all the spreadsheets except Izzy's from post 13 into the list of spreadsheets at the top of the page. Let me know if I missed one. I've also added mine and a couple of generic template for challenges. I moved a couple of mine to a different folder so if you've looked at one already, I've moved it and fixed the permissions I think.

That questionnaire looks great. The only thing I would change is that instead of just saying "required field" I would say clearly that even though there are a lot of fields, "Don't worry, just input what you know, the basics are fine," something like that.

I'm assuming it populates the "master" sheet. Is that going to be hidden? If someone has a lot of books to add, is there a way for them to enter books directly into the sheet? It would probably be mostly me but there might be someone else. I'd love to get rid of that message about editing and the message going away for five minutes. It's annoying.

Izzy | 41 comments Excellent! The form populates the "Form Responses 1" sheet. I'm basically assuming two types of data entry: one offs from the form, and bulk entries by copy and paste. I've been trying to make both of those easier, but I haven't touched the original version. Mostly because I don't want to break what I can't fix. Feel free to make it pretty.

In terms of making it easier, the goodreads link is basically anything where the longest number is that number in the edition URL. Other than that, I don't care.

I don't understand your last paragraph/sentence. Longest #? I don't see that on the form.

Yeah, don't mess up the original version of the database. YonnoMaus put a ton of work into it and it's their baby. I helped but it's mostly theirs.

Izzy | 41 comments I didn't put "longest #" anywhere on the form, because I thought it would confuse people. I just said I'd be happy with the link in any format. What I'm really looking for is the number in the URL after the word "show", which is the same as the number in any GR link of the form [*book:...]. I take what I'm given, programmatically ignore everything except that number, and recreate the links in whatever format from the number.

Got it. I like the additional text in your header now, I just think it needs to be shorter or have paragraph breaks or something to make it visual easier to read and not overwhelm.

So, this is an all books spell database. It makes use of my copy of the MM spell database, but keeps it separate, and allows others to create other genre specific spell databases, if desired, that can also be added.

I'm working on a tie in individual spell challenge helper sheet to make adding to spell databases more useful, but I'm not quite ready to share that.

If it's all books--which I think is a great idea--is there a field to indicate which are M/M? Or what genre in general? The people who helped develop it original and I use it for M/M but we'd like to have the most up to date version rather than the old one nor do we want to have to update two databases.

Sorry, I still need to look at it but this week is really bad.

Izzy | 41 comments The way this works is there is still a M/M only database, and any M/M updates can and should be made to that database. The all books database imports that database, and any other genre specific databases that are created, smashes them all together with what is unclassified and says "these are the books". If books are added to a genre specific database, there is no need to add them to any other database.

Currently, there is no field for "genre" but that would be a great thing to add. Especially if there are more databases, and more entries to all the databases, knowing the genre and/or being able to filter by genre could become very useful.

I realized I had the perfect field to put genre in, so that was an easy addition.

There are extensive instructions here. Most have to do with starting challenges. Roughly, how this works is:

*Has books in the spell database as a backbone.
*All the books you read get recorded on the "Books" sheet. They're pulled from the database by a code, so if someone else already read that book, saves data entry time.
*Can have multiple spell challenges running simultaneously
*Dropdowns on "Challenge Spell" sheets to select books that match that letter. (Read after a date selected per challenge)
*An area to copy/paste book/author information into forums (please let me know if this can be improved!)
